Privacy information pursuant to art. 13 EU Reg. / 2016/679, relating to the processing of personal data

This information, prepared in accordance with Legislative Decree 196/2003 and EU Reg. / 2016/679, is intended for Interested parties who register for the 10th European Combustion Meeting and use the "10th European Combustion Meeting Virtual Congress 2021 Platform”, hereinafter also simply referred to as "Event". To this end, it is stated that: - Interested is the natural person to whom the personal data belong. - The data controllers are the company MCM Srl, with registered office in Via Rione Sirignano 5 80121 Naples (IT) and Italian Section of the Combustion Institute with legal office in P.le Tecchio 80 (Napoli IT) here for brevity named the Holders  responsible for the use of the data collected and managed by itself for the purpose of the event, and all the other subjects participating as Exhibitors and / or Sponsors at the Event. A list of the participating sponsors and or exhibitors may be requested to the Holders at any time at info@mcmcongressi.it. The Holders have designated the External Data Processor: - Conference Compass BV with registered office in Binckhorstlaan 36 / Unit M2.18 2516 BE The Hague, The Netherlands, VAT Number NL823239330B01, editor and maintainer of the Platform hosting the Event and responsible for the processing of personal data of users collected through the Platform, here for brevity referred as Manager.

1. Purpose and legal basis of the processing.

The provision of the data requested during registration for the Event is free and optional, but necessary and can be revoked at any time; failure to provide the data requested as mandatory on the registration page makes it impossible to provide the services indicated. The personal data provided by the interested party will be used for the purposes indicated below:

1.1. Provision of the requested services

i. management of the request for access to the Event and consequent management of all related obligations and related registration to the Platform;

ii. use of the services provided through the Platform, including: virtual tour of the stands, the possibility of attending live shows of the Plenary Conferences and Workshops, access to the Poster Rooms, scheduling of appointments, interaction with other participants and Exhibitors, through the functions provided by the Platform, including live chat, video conference, and so on; in this regard, see Section 1.2. dedicated for specifications;

iii. to send notifications relating to requests for appointments or contact by other subscribers to the Event and by Exhibitors and Sponsors, as well as to allow interaction between connected users;

iv. fulfillment of organizational and administrative activities;

v. management of the request for information and technical assistance by the interested party through the contact forms, spontaneous sending of e-mails, telephone contact or other methods;

vi. fulfill any legal, accounting and / or tax obligations;

vii. sending the interested party of updates and information regarding the Event, as well as communications regarding upcoming Events organized by the Holders;

viii. sending to the interested party updates and information relating to services offered by the specific Exhibitor or Sponsor during the Event, if the interested party has participated in virtual Workshops, virtual Meeting Rooms or visited virtual stands of the specific Exhibitor or Sponsor or participated in Plenary Conferences and only in connection with similar products or services (so-called Soft spam). It should be noted that in this case any promotional messages could be sent only directly by the specific Exhibitor or Sponsor and not by third parties, and that such communications could only concern products and services similar to those discussed during the Event, without prejudice to the possibility of interested in opposing the treatment referred to in this point by simple request, as detailed below

Legal basis. In relation to the purposes indicated in this Section 1 (i) (ii) (iii) (iv) (v) the lawfulness of the processing is based on your free and optional consent pursuant to art. 6, co. 1, lett. a) as well as on Article 6, par. 1, lett. b) of EU Reg. 679/2016, or for the need to process personal data for the provision of the services requested by the interested party and to meet the requests of the interested party. In relation to the purposes of point (vi), the processing is carried out pursuant to art. 6.1.c) of the Regulation, for compliance with legal obligation. In relation to the purposes indicated in point (vii), the data may be processed for the purpose of directly sending information material on the new physical and digital editions of the Event, believing that all of this is to your liking. Finally, in relation to the purposes indicated in point (viii), the data may be processed for the purpose of directly sending information material and updates relating to services offered by the Exhibitor or Sponsor even during the Event, considering that all of this is of his liking. The processing of your data in relation to points (vii) and (viii) is also based on the legitimate interest referred to in art. 6.1.f) of the Regulations and pursuant to art. 130 paragraph 4 of Legislative Decree 196/2003 (so-called "soft spam"), also in relation to Recital no. 47 of the GDPR. In any case, pursuant to art. 21 of the Regulation, you have the possibility to oppose this treatment at any time through the mechanisms made available: direct opt-out (for example in the invitation e-mails) or by writing to the specific Data Controller and / or to the Manager (art. 7 of the information) to request the termination of communications and the exercise of the rights of the interested party.

1.2. Use of the functionality of the Platform and Third Parties.

The processing of users' personal data is carried out to allow the interested party the full use of all the services and features of the Platform, which provides areas dedicated to the conduct of Plenary Conferences, virtual Workshops, virtual Meeting Rooms and virtual stands of the Sponsors, for the use of which the following is specified:

i. browsing within these virtual areas inevitably involves the visibility of your personal data (for example name, surname, company, company role, etc.) also by third parties (for example other connected users);

ii. browsing the platform and interacting with the sponsor and / or sponsor by the interested party, setting an appointment, or participating in workshop sessions entails viewing and acquisition by the sponsor company / Exhibitor of the data of the interested party. The interested party may also, at his discretion, transmit further personal data to the sponsor or exhibitor, which will be acquired by the sponsor / exhibitor and may be used by the sponsor for his own additional marketing purposes and, therefore, managed as autonomous owners;

iii. simple access to the Platform (without access to virtual workshops, virtual Meeting Rooms, virtual stands of Exhibitors and even Plenary Conferences) does not involve any sharing of the personal data of the interested party with third parties and will not allow the sending of updates and information relating to services offered by any Exhibitor or Sponsor during the Event.

Legal basis. The processing activities referred to in this Section 1.2 are functional to the use of the services provided by the platform itself, the lawfulness is based on the consent expressed at the time of registration pursuant to art. 6, co. 1, lett. a) of the Regulations, which may be revoked at any time; the specific withdrawal of consent in relation to the processing of data referred to in this Section 1.2, will not be intended as withdrawal of consent also in relation to the previous Section 1.1.

1.3. Treatment of personal images

During the event, the profile image of the interested party may be visible (acquired for example by LinkedIn following registration), in addition, videos, frames, images, photos and multimedia materials may be made within which it could be incorporated, even incidentally, the user's image, his data (name and surname) and / or his voice.

The acquisition and / or production of such materials may take place for information, promotional purposes of the event or the making available to the public and / or the media (press, television), social networks.

In any case, it is specified that virtual appointments within the Meeting Rooms will not be registered.

The images acquired are treated in accordance with the legislation on copyright (RD 633/1941) and the rules on the use of images of others (art.96 and following RD 633/1941) and the EU Reg. / 679/2016. That said, the interested party as declarant authorizes, without having anything to expect, the owners and the manager to register and / or acquire the aforementioned material, for the purposes indicated and for this reason he declares to:

to renounce any claims and claims, even of an economic nature, in relation to the future uses of the reproductions covered by this release towards the Holders, Manager and Sponsors

Holders and Managers expressly authorized to use them;

b. to release the Holders from any responsibility, including economic, concerning incorrect use of photographic and / or audio video material by users of websites, social networks or, in any case, third parties;

c. to have read and understood the entire information including this release and to be aware that ticking the box is equivalent to signing the release under one's own responsibility.

1.4. Communication of the services and activities of The Holders.

i. The data you provide will be processed for sending update communications relating to the activities and initiatives organized by MCM srl all communications relating to the development of the sector inherent to that covered during the Event. These communications could be sent in the form of newsletters and promotional and / or commercial communications (so-called Soft spam).

ii. The data may be processed to analyze the interests of the participants in the workshop areas in order to understand their interests and offer targeted communications relevant to their preferences in relation to a specific area or product sector, therefore also to allow the improvement of the services offered.

Legal basis. In relation to the purposes of this Section 1.4 (i) the lawfulness of the processing is based on Article 6, paragraph 1, letter a) and lett. f) of EU Reg. / 679/2016, or on the consent of the interested party and on the legitimate interest of the Holders to provide a better service, more relevant to your preferences.

Furthermore, it should be noted that your data may also be processed on the basis of art. 6, co. 1, lett. f) of the Regulations and pursuant to art. 130 paragraph 4 of Legislative Decree 196/2003 (so-called "soft spam"), assuming your interest in being updated on the initiatives; in all cases, consent may be revoked at any time using the opt-out mechanisms made available (following the instructions in each communication or newsletter) or by contacting Holders or the Manager at the addresses indicated in art. 8 of the information.

2. Providing data and consequences of refusing consent.

As indicated in the preceding points, registration on the Platform is free and optional and presupposes that you have read this information. The provision of data contained in the registration form on the Platform is mandatory in order to allow registration to the same and the provision of the requested services. Failure to provide such data will result in failure to register on the Platform and the consequent impossibility of accessing its contents and features.

3. Personal Data being processed.

The processing concerns common data, personal identification and computer data of the interested party; in particular:

a. Navigation data

During their normal operation, the IT systems and software procedures used to operate the Platform and the Site acquire some Personal Data whose transmission is implicit in the use of Internet communication protocols. This is information which by its very nature could, through processing and association with data held by third parties, allow users to be identified. This category of data includes the IP addresses or domain names of the computers used by users who connect to the Site, the addresses in URI (Uniform Resource Identifier) ​​notation of the requested resources, the time of the request, the method used in submitting the request to the server and other parameters relating to the user's operating system and IT environment. These data are used for the sole purpose of obtaining anonymous statistical information on the use of the Site and to check its correct functioning, to identify anomalies and / or abuses, and are deleted immediately after processing.

b. Data provided voluntarily by the interested party.

Identifying data of the interested party, including: name, surname, profile picture and other information suitable to identify or make it identifiable such as the name of the company where he works, the professional title, etc. This information is acquired following registration on the Platform - by means of a specific form - and following navigation; the data may also be communicated through the information request form or email. Any sensitive data, referred to in art. 9.1 Reg. 2016/679 / EU should not be processed except with the explicit consent of the interested party.

4. Recipients of the treatment.

The data may be processed:

- by the Holders and the by the External Data Processor for the purposes indicated above, as well as by any other managers who may possibly be appointed;

- by the subjects with whom it is necessary to interact for the provision of the Services (for example hosting providers)

- by external subjects designated as Managers, included in the following categories: companies that offer e-mail services and / or that carry out billing and / or tax management activities; companies that offer management and maintenance services for the informatic infrastructure of the Platform.

The data may also be disclosed to:

- Third parties, Exhibitors or Sponsors of the Event, also by virtue of what is indicated in Paragraph 1 Section 1.1 (viii) and 1.2 (ii) and with respect to which the interested party has given his consent to the communication of his personal data for them additional marketing purposes. In this case, it will be the responsibility of the aforementioned companies to issue further information pursuant to art. 14 EU Reg. / 679/2016.

- to the Judicial Authority, in relation to requests by the same, to third parties for the fulfillment of tax or administrative obligations, or if it is necessary to achieve the purposes indicated above.

The personal data of the interested party registered on the Platform will not be disseminated or transmitted to third parties in any way contrary to the provisions of this Notice. In relation to personal images, please refer to what is indicated in Art. 1.3 of this information. 

5. Method and place of processing.

Personal data will be collected, processed, registered, consulted, stored, made available to third parties, profiled, extrapolated, in the terms and conditions of this Information; in any case, the data processing takes place in compliance with the purposes for which they are collected and processed by the personnel specifically appointed by the Data Controllers and Managers of the treatment, through paper, computer and electronic media. More precisely, the data will be processed by the Holders, by the participating Sponsors, at their headquarters in by means of its own staff belonging to the marketing-commercial and associative development areas. An update lists of sponsors may be request at any time to the Holders at info@mcmcongressi.it. And by the Manager, by means of its personnel belonging to the marketing and communication areas, at its headquarters and on servers located at the same office.

6. Duration of treatment and data retention period.

In general, the data will be processed for a period of time appropriate to the achievement of the aforementioned purposes by the personnel specifically appointed by the Data Controllers and Managers for a maximum time of 2 years. The data are stored in paper and electronic archives at the headquarters of the Holders and of the Managers of the treatment (for the time necessary to carry out their assignment) to allow the pursuit of the necessary purposes with full assurance of the adoption of the security measures provided. by the legislator to protect the data collected, in order to avoid the risks of data loss or theft, unauthorized access, illicit and incorrect use.

7. Rights of the interested party.

The interested party can exercise the rights provided for in articles 15 to 22 and art. At any time 34 of EU Reg. / 679/2016; in particular the interested party:

- You can exercise the right of access to personal data (art.15 Reg.),

- You have the right to obtain the correction of inaccurate personal data (art. 16 Reg.);

- You have the right to obtain the deletion of data in the presence of the conditions indicated in art. 17 of the Reg .;

- You have the right to obtain the limitation of the treatment in the presence of the conditions set out in art. 18 of the Reg .;

- Has the right to request the portability of data concerning him (art. 20);

- You have the right to object to automated processing, including profiling (art.21).

Furthermore, the interested party may exercise the right to withdraw the consent given for one or more purposes at any time without thereby affecting the lawfulness of the processing, based on the consent given before the withdrawal.

The interested party also has the right to lodge a complaint with the National Supervisory Authority, or the Guarantor for the protection of personal data, based in Piazza Venezia 11, IT-00187, Rome (http://www.garanteprivacy.it/)
